How to calculate your freelance hourly rate in 2026

Charging too little is the most common freelancer mistake. Learn the formula that includes taxes, vacations, instability and expenses — and never work on the loss again.

Why most freelancers underestimate themselves

"I will charge R$ 50/hour" — but where does this number come from? From intuition. From what a colleague charges. From what seems reasonable to the customer. The shyness of asking for more.

The problem is deep: R$ 50/hour can be great or terrible depending on your actual costs, taxes, hours you actually work and months without income. The only way to know if you're charging right is to do the math.

Freelancers who calculate their hourly rate by method earn on average 30–50% more than those who estimate by intuition — without working longer hours.

The complete formula in 5 steps

Step 1: Set your monthly net goal

How much do you want to have in your pocket every month after paying all the bills? Not billing — what's left for you to live on.

Example: R$ 4.000/month net.

Step 2: Map out all your monthly spending

Add personal and business expenses separately:

  • Rent/villa: R$ 1.200
  • Power: R$ 600
  • Transportation: R$ 200
  • Health (plan + gym): R$ 300
  • Leisure and unforeseen events: R$ 200
  • Total personal expenses: R$ 2.500
  • Business expenses:

  • Internet and mobile: R$ 150
  • Software and tools (Adobe, Figma, etc.): R$ 120
  • Courses and update: R$ 80
  • Counter (if you have one): R$ 150
  • Total business expenses: R$ 500
  • Step 3: Calculate the tax burden

SchemeMonthly costFor those who make sense

    MEIR$ 80,90 fixedBilling up to R$ 6.750/month
SIMPLES NACIONAL~6% on revenueBilling up to R$ 81.000/month
    Individual (Carnê-leão)15 - 27.5Few services, no CNPJ

For most beginner or extra income freelancers: MEI (R$ 80,90/month).

Step 4: Calculate the actual billable hours

An 8-hour day as a freelancer does not yield 8 billable hours. The reality:

  • Customer prospecting: 1–2h/day
  • Uncharged meetings and calls: 0.5-1h/day
  • Administration, email, invoices: 0.5h/day
  • Actual billable hours: 5–6h per working day
  • In 20 days/month working: 100–120 billable hours (not 160h).

Step 5: Adjust for Vacation and Bad Months

You don't bill 12 months a year. Consider:

  • 1 month of vacation/year → factor 11/12 = 1.09
  • Months with projects paused or without client: 10–15% buffer
  • Total adjustment factor: ~1.20 (multiply the need by 1.20)

    Full example: Julia, freelance designer

  • Net target: R$ 4.000/month
  • Personal expenses: R$ 2.500/month
  • Business expenses: R$ 400/month
  • Regimen: MEI (R$ 80,90/month)
  • Days worked: 20/month
  • Billable hours: 6h/day = 120h/month
  • Vacation factor: 11/12 = 1.09
  • Monthly gross requirement:

    (R$ 4.000 + R$ 2.500 + R$ 400 + R$ 80,90) × 1.09 = R$ 7.590/month

    Rate/h (minimum)

    R$ 7.590 ÷ 120h = R$ 63,25/hour

Any project below R$ 63/hour and Julia is working on the loss — even if it looks “good money”.

Tools to track hours and customers

  • Toggl Track (free) — timer of hours per project
  • Notion (free) — client and project control
  • Conta Azul or MEI Fácil — issuance of invoice and financial management
  • Google Sheet — simple and functional for those just starting out
  • Most common pricing errors

  • Charge by the hour but don't record the time — you end up working more without getting paid
  • Do not include meeting time in the amount charged — meetings are work
  • Discount hourly rate — prefer to reduce scope, never hourly rate
  • Do not adjust the price annually — inflation erodes the power of the hourly rate
  • Accept the first amount the customer proposes — always trade from your calculated minimum
  • Frequently asked questions

How much does a beginner freelancer charge?

It depends on the area, but as a reference: design R$ 40-60/h, writing R$ 35-50/h, dev R$ 60-80/h. The beginner can charge less than the market for 3–6 months to build portfolio, but never below its calculated cost.

Can I charge less at the beginning to earn customers?

Yes, but with a limit. Calculate your actual hourly value and set the absolute minimum. Below this minimum, you are subsidizing the customer with your own money.

Should I tell the customer my hourly rate?

Not necessarily. For closed projects, enter the total value of the project. The hourly rate is an internal reference for you. Customers tend to question hours; they question the price of the result less.

How can I readjust my price without losing customers?

Give 30–60 days notice, explain why (inflation, increased demand, new projects), and offer to honor the old price on the last project. Good customers understand and stay. Those leaving for a 20% increase were not the best customers.

Should I open MEI to work as a freelancer?

For those who consistently bill more than R$ 1.000/month: yes. MEI allows issuing invoices (essential for PJ clients), costs R$ 80,90/month and includes INSS for retirement. See our complete guide to MEI.
